Terms of Service
These terms govern your use of Siteflo, provided by Flobase Ltd.

1. Who we are
Siteflo is operated by Flobase Ltd, a company registered in England and Wales under company number 17166043, with its registered office at 16 North Street, Steeple Bumpstead, Haverhill, England, CB9 7DP. You can reach us at support@entryflo.co.uk.
By creating an account you agree to these terms. If you are agreeing on behalf of a business, you confirm you are authorised to bind that business.
2. The service
Siteflo is software for managing recurring service contracts, jobs, quotes, invoices and service records, together with a portal your own customers can use to book appointments and retrieve documents.
Siteflo does not issue statutory certificates. It does not produce a CP12, an EICR, or any other document whose issue is reserved to a registered scheme. Documents produced by Siteflo are service records. Ensuring the work you record is lawful, competent and certified through the proper scheme remains entirely your responsibility.
Report templates, including those referencing published standards, are provided as a starting point. They are not legal or technical advice, and we do not warrant that any template satisfies a particular standard or regulation. You are responsible for checking that what you record is correct and complete.
3. Accounts and access
You are responsible for the security of your account, for the accuracy of the details you give us, and for everything done under your logins. Tell us promptly at support@entryflo.co.uk if you believe an account has been compromised.
Each person who signs in counts towards the engineer limit on your plan. Your own customers do not need accounts and do not count.
4. Trial, plans and payment
New accounts start with a free trial of 14 days. No card is required to begin. When the trial ends, your account becomes read-only until you choose a plan. Your data is not deleted at that point.
Paid plans run from Solo at £29 per month to Business at £149 per month, billed monthly or annually in advance through Stripe. Prices exclude VAT, which is added where applicable.
You can change plan or cancel at any time from your account settings. Cancelling stops future renewals; we do not refund the portion of a period already paid for unless the law requires it. We may change prices, and will give you reasonable notice before a change affects a renewal.
5. Your data
You keep all rights in the data you put into Siteflo, including your customer records, service records and documents. You grant us only the permission needed to host and process that data in order to provide the service.
We process personal data in line with our Privacy Policy. Where you enter personal data about your own customers, you are the data controller and we act as your processor.
You can export your data at any time while your account is active. If you want an export after cancelling, contact us and we will help where we reasonably can.
6. Acceptable use
You agree not to use Siteflo to:
- break the law, or help anyone else to
- store or send material you have no right to
- attempt to access another customer’s data, or probe our systems without our written permission
- disrupt the service, or place a load on it designed to degrade it for others
- resell or white-label the service without our agreement
We may suspend an account that puts the service, our other customers, or us at material risk. Where it is practical to warn you first, we will.
7. Availability
We work to keep Siteflo available and reliable, but we do not promise it will be uninterrupted or error-free, and we do not offer a service level agreement on these terms. We may need to interrupt the service for maintenance, and will try to keep that brief and outside normal working hours.
8. Liability
Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited.
Subject to that, we are not liable for loss of profit, loss of business, loss of goodwill, or any indirect or consequential loss. Our total liability arising out of or in connection with these terms in any twelve-month period is limited to the amount you paid us for the service in that period.
Siteflo is a record-keeping tool. It does not verify that work was done correctly or that an installation is safe, and we are not liable for the consequences of work you carry out or fail to carry out.
9. Ending the agreement
You may stop using Siteflo and close your account at any time. We may end this agreement on reasonable notice, or immediately if you materially breach these terms and do not put it right within a reasonable period after we ask.
After an account is closed we may delete its data. If you need an export, ask before closing.
10. Changes to these terms
We may update these terms as the service develops or the law changes. If a change materially affects you we will give reasonable notice, by email or in the app. Continuing to use Siteflo after a change takes effect means you accept it.
11. Governing law
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute arising from them.
